Pit Administration Supervisor

 The Pit Administration Supervisor is the heart of pit operations at a FIRST event. This leadership role supports team check-in, manages the Pit Admin station and personnel, coordinates with EMTs, and ensures a smooth, safe, and professional pit experience for all.

Volunteer as a Pit Administration Supervisor

The Pit Administration Supervisor oversees the Pit area and Pit Admin station, ensuring smooth check-in, team support, and communication throughout the event. They supervise Pit Admin staff, interface with teams, answer questions, and coordinate medical incident response with EMTs. This position requires strong communication, organizational skills, and a commitment to gracious professionalism.

Minimum Age: 21 years old

  • Exceptions may be granted by event Volunteer Coordinators after review and approval by the local Program Delivery Partner

Experience: Either FIRST or related field experience preferred

Training: Some pre-event training required

Role Details / Responsibilities:

  • Participate in required pre-event training, including Data Privacy and Protection course
  • Supervise all Pit Admin area roles as applicable (Spare Parts, Pit Announcer, Safety Attendants)
  • Set up the Pit Admin station and oversee team registration packet preparation
  • Ensure teams complete and submit all required forms; follow up on missing paperwork
  • Restrict early access to Pit and help facilitate scheduled Pit closures
  • Serve as the main contact for EMTs and assist with incident reporting
  • Provide friendly and professional team support and answer questions in the Pit
  • Supervise Pit breakdown and ensure proper return of team materials
  • Uphold safety, security, and flow in the Pit area
  • Volunteers should focus on the role they are filling at that event. This includes:
    • Helping avoid the appearance of bias by not cheering for one specific team when wearing official event apparel (volunteer shirt or FIRST/Partner staff clothing). Instead, we encourage volunteers to cheer for all teams equally.  
    • Refrain from accessing sensitive event areas unless they are necessary to fulfill your volunteer role for this event. This can include playing field access, scoring table and judging rooms.
    • Wearing volunteer specific apparel (e.g. FTA shirt, Robot Inspector hat, etc) when filling that specific role.

Pit Administration Supervisor with FIRST Tech Challenge

  • Primary lead for the Pit area and team-facing logistics at the event
  • Oversees staffing and scheduling of all Pit Admin functions
  • Ensures consistent communication between volunteers, teams, EMTs, and event leadership
  • Must be well-versed in event layout and key contacts for directing teams

Volunteer Time Commitment:

  • Pre-event Training 
  • Set-up Day (2-3 hour commitment)
  • Full Event Day

Role Training:

  • Provided by role materials, and FIRST Training.
  • Data Privacy and Protection Training is required through FIRST Training.

  • Primary lead for the Pit area and team-facing logistics at the event
  • Oversees staffing and scheduling of all Pit Admin functions
  • Ensures consistent communication between volunteers, teams, EMTs, and event leadership
  • Must be well-versed in event layout and key contacts for directing teams

Volunteer Time Commitment:

  • Pre-event Training 
  • Set-up Day (half day commitment)
  • Minimum 2 full day commitment (Districts)
  • Minimum 3 full day commitment (Regionals)

Role Training:

  • Provided by FIRST and the designated Pit Admin Supervisor Trainers via conference calls, role description materials, and email communications.
  • Data Privacy and Protection Training is required through FIRST Training.

  • Championship Volunteer Time Commitment:
    • Volunteers are needed Wednesday Morning – Saturday Afternoon.
      • Prefer volunteers who are also available to help on Tuesday
    • This role requires long hours. Must be prepared to be present during all hours that the Pits are open
    • Detailed scheduling information will be provided in advance of the event.

  • Championship Volunteer Time Commitment:  
    • Volunteers are needed Wednesday Morning – Saturday Afternoon.
