Volunteer Room Assistant

As a Volunteer Room Assistant, you’ll help create a warm and organized welcome for fellow volunteers by assisting with check-in, distributing materials, and supporting the Volunteer Coordinator throughout the event. This role is perfect for friendly, detail-oriented individuals (13+) who enjoy being part of a team and making others feel appreciated and informed.

The Volunteer Room Assistant assists the Volunteer Coordinator with volunteer check in and/or monitors the volunteer room. This role is perfect for friendly, detail-oriented individuals (13+) who enjoy being part of a team and making others feel appreciated and informed.

Minimum Age: 13 years old

Experience: No FIRST or Related Field Experience required

Training: Some pre-event training required

  • Data Privacy and Protection Training is required through FIRST Training. 
  • Additional role specific training will be provided by the Volunteer Coordinator on site.

Role Details:

  • Work with the Volunteer Coordinator to be trained in the process of checking in registered volunteers, issuing name badges, volunteer t-shirts, and other volunteer recognition items
  • Establish that the volunteer registration process is set and organized prior to check-in
  • Obtain all necessary forms and documents from the Volunteer Coordinator before the start of the event. This may be in the form of links or paper documents.
  • If equipment will be used during the registration process, ensure equipment is in working order and secure/store equipment at the end of each day
  • Greet and check in volunteers as they arrive at the event; ensure that all volunteers check-in daily before starting their volunteer duties (ideally before breakfast)
  • Ensure that only authorized individuals are permitted into volunteer areas, including the volunteer lounge
  • Gather all completed necessary paper forms from volunteers and work with the Volunteer Coordinator/Pit Administration Supervisor to send them back to FIRST at the close of the event
  • Break down registration table and equipment at the close of the event, and other duties as requested by the Volunteer Coordinator
  • An understanding of office technology, and the ability to utilize them is helpful (e.g., spreadsheets, printers, copiers)
  • Self-directed individual
  • Strong interpersonal, communication, and leadership skills
  • Willingness to collaborate with others
  • Volunteers should focus on the role they are filling at that event. This includes:
    • Helping avoid the appearance of bias by not cheering for one specific team when wearing official event apparel (volunteer shirt or FIRST/Partner staff clothing). Instead, we encourage volunteers to cheer for all teams equally.  
    • Refrain from accessing sensitive event areas unless they are necessary to fulfill your volunteer role for this event. This can include playing field access, scoring table and judging rooms.
    • Wearing volunteer specific apparel (e.g. FTA shirt, Robot Inspector hat, etc) only when filling that specific role.  
  • Must read and comply with the Volunteer Handbook

Volunteer Time Commitment:

  • Can be divided among multiple volunteers for the duration of the event 
  • Preferred 2 full day commitment (Districts)
  • Preferred 3 full day commitment (Regionals)
