Event Volunteer Role
Load In / Load Out Crew
Load-In/Load-Out volunteers are essential to event logistics, helping set up and break down the venue and ensuring teams can safely transport materials in and out of the event. This physically active role is great for early risers, problem solvers, and behind-the-scenes helpers.
Volunteer as a Load In / Load Out Crew Volunteer
Volunteers in this role assist with setting up and/or tearing down the event venue and equipment. They may be assigned to specific areas or general duties based on event needs. In FIRST Robotics Competition and FIRST Tech Challenge, they also help manage safe team traffic flow during robot and pit equipment movement. This role may require lifting, standing for long periods, and outdoor work in varied conditions.
Minimum Age: 13 years old
Experience: No FIRST or related experience required
Training: No pre-event training required
Role Details / Responsibilities:
- Provide directions and answer basic event logistics questions for teams and volunteers
- Coordinate with Safety Manager and/or Event Manager to maintain safety protocols
- Maintain calm and organized movement throughout entry/exit periods
- May be asked to assist outdoors in varied weather conditions
- Volunteers should focus on the role they are filling at that event. This includes:
- Helping avoid the appearance of bias by not cheering for one specific team when wearing official event apparel (volunteer shirt or FIRST/Partner staff clothing). Instead, we encourage volunteers to cheer for all teams equally.
- Refrain from accessing sensitive event areas unless they are necessary to fulfill your volunteer role for this event. This can include playing field access, scoring table and judging rooms.
- Wearing volunteer specific apparel (e.g. FTA shirt, Robot Inspector hat, etc) only when filling that specific role
- Must read and comply with the Volunteer Handbook

- Direct teams during robot/equipment transport and ensure safety pathways are clear
- Plays a key safety role in team movement during Load-In/Out
- Walks through Load-In plan with Event Director prior to teams arriving.
- Works closely with Safety Manager to enforce safety procedures
- May be stationed inside or outside to manage team and vehicle flow
- Keeps aisles and traffic paths clear
- Must be comfortable giving clear instructions under pressure
- May be asked to be the lead of this role to help direct others. Talk with your Volunteer Coordinator to understand who will be the lead.
Volunteer Time Commitment:
- Review Pre-event training or planning slides
- 2 hours during load in and 2-3 hours during load out
- Can be divided among multiple volunteers for the duration of the event
Role Training:
- On-site instructions and day-of coordination by Volunteer Coordinator or Event Director

- Works indoors or outdoors to direct traffic and assist teams
- May work in varying weather conditions
- Championship Volunteer Time Commitment:
- Team Load-In: Wednesday, 6:30 AM – 4:00 PM
- Team Load-Out: Saturday, 7:00 AM – 5:00 PM
- Volunteers may be divided into shifts if they are not able to commit to the entire time.
- Detailed scheduling information will be provided in advance of the event.
- Reports to: FIRST Staff
