Volunteer Recruitment Documents

• FRC Volunteer Recruitment Flyer - A flyer that can be shared to recruit volunteers. The PDF can be edited once downloaded to update the contact information with your own.
• FRC Volunteer Recruitment Video - A video to share on social media or with potential volunteers.
• Judge Recruitment Flyer - A flyer that can be shared to recruit judges!
• Volunteer Roles Cheat Sheet - a document that outlines all volunteer roles as well as minimum age requirements, previous experience needed, suggested number of volunteers, and more!

Volunteer Training Documents & Communication

• Volunteer Certifications & Training Schedule - a list of all key volunteer roles and when/where the training occurs.
• Volunteer Orientation Template (file automatically downloads) - An editable PowerPoint template that can be used, revised, and populated with specific event information to share with volunteers.
• Volunteer Report & Meeting Times - An editable excel sheet that gives VCs a starting point for when volunteers should report for their role and a list of volunteer meetings that may take place and who to include. Important note: This document is a starting point and VCs should make edits for their events.
• Volunteer Coordinator Email Templates (file automatically downloads) - Editable template emails for VCs to use when communicating with volunteers for assignments.
• Tips for Interacting with Teams - Includes tips to help prepare volunteers with best practices for interacting with teams and students.

Volunteer Apparel & Recognition

• 2027 Volunteer Apparel Allotment per Event (coming soon) - A sheet to show allotted numbers of apparel items and pictures of the various apparel.
• Volunteer Recognition Portal - Free items for partners to order for volunteer and mentor recognition and recruitment. This does not include items for events, which are managed separately by FRC Volunteer Coordinators. FRC partners can order items for off-season events, recruitment events, or items not included in the items sent to events.
• FIRST Store - Volunteer and mentor items for sale such as year of service pins, coach mentor pins, and swag. Program Delivery partners have access to a discount on these items year-round.

FIRST Volunteer Forms

• Conflict of Interest Form - A required form for volunteers with a conflict of interest
  • Destroy forms at the end of the event for PII concerns.
• FIRST Reporting Portal - The portal to report concerns ranging from Youth Protection Concerns to Medical Incidents to other concerns you want FIRST to be aware of.
• FIRST Volunteer Handbook - Comprehensive guide to the different ways people can volunteer with FIRST. Includes expectations, descriptions of trainings, policies, and other resources.
  • FIRST Code of Conduct - This FIRST Code of Conduct lists some of the basic behaviors all participants should adhere to while participating in FIRST activities.
  • Volunteer Rights, Responsibilities, and Requirements - The section of the FIRST Volunteer Handbook that covers important items volunteers should be aware of.

Volunteer Registration & VMS Help

The Volunteer Management System (VMS) is the online tool used to assign and manage volunteers. All Volunteer Coordinators are required to use VMS to assign volunteers. Assigned Volunteer Coordinators can access the following resources in VMS under the Help tab:

• VMS Tools, Resources, and System Training- A reference document that directs you to many available documents and resources to help utilize VMS. 
• VMS User Guide - A comprehensive guide intended to help users become familiar with VMS.
• VMS Best Practices – VC Comments - Guide on how to use the VC Comments section in VMS to leave feedback and comments for specific volunteers that can be read by other Volunteer Coordinators. On the VMS Tools, Resources, and System Training document, it is titled "Volunteer Comments."

• Volunteer Registration Help - Step-by-step process to complete Volunteer Registration.
• Volunteer Screening Guide (US) - A helpful guide to share with volunteers on how the screening process works.

FIRST Training Resources

• The Gracious Volunteer - Discover how you can represent our mission, embody our Core Values, and master the skills needed to create a welcoming and inspiring FIRST community through customer service. This training is required for Volunteer Coordinators.
• The Gracious Volunteer - Event Volunteer - This training will walk event volunteers through customer service basics to use at events. This training is required for Volunteer Coordinators.
• Volunteer Coordinator Toolkit - This toolkit is intended for Program Delivery Partners and Volunteer Coordinators to use as a resource to equip them to manage volunteers. This is optional for Volunteer Coordinators.
